What's in the inventory here
Much of it has no plug and is still recorded just like any other device. Whatever gets lent out belongs in here.
- Works depot Machines, trailers, small equipment, with cost centre and your own fields for inspection deadlines.
- Administration Workstations, screens, phones; permanently assigned to staff.
- Schools and health units Separate locations in the same inventory, with the stocks kept cleanly apart.
- Assets with a book value Useful life per device, monthly depreciation, current value on the reference date.
The start
The first three steps
In this order, because each step builds on the previous one.
- 1 Set up locations and cost centres The structure your bookkeeping works along anyway.
- 2 Add custom fields Whatever your asset accounting tracks gets a field: account, funding, procurement year.
- 3 Import your stock From the existing asset list, with price and purchase date. The current value then calculates itself.
You do step 2 yourself; the template and preview are part of the subscription. If the list is very big or inconsistent, we'll take it on if you like, charged by effort with the price named up front. The whole process is in the manual.

What gets asked from this corner
Is that enough for the audit?
Every change to inventory, loans and accounts is logged, with person, time and previous state. Reports can be handed over as a printout or CSV.
Can we separate several locations?
Yes. Location, room and storage location structure the stock, and the total across all locations is kept.
How is the current value calculated?
Straight-line and monthly from the acquisition month, over the useful life. The value is recalculated on every view and so always applies to the current month. A current value entered by hand takes precedence.
