Ask your inventory. Swyron AI answers.
“Which of class 3a’s loans are overdue?” Swyron AI searches devices, loans, reservations, warranties, the library and released documents and answers in one sentence, with links to the devices. If a question is unclear, Swyron AI asks back.
Which of class 3a’s loans are overdue?
In class 3a, 3 devices are overdue:
- BEA-0004 Projector EB-685W, Lena Fischer, since 12.09.
- NB-0012 MacBook Air, Noah Keller, since 18.09.
- TAB-0031 iPad 10, Mia Huber, since 26.09.
And which of them are reserved?
Projector BEA-0004 is reserved for PE from Monday, so the return is urgent.
In detail
What the module can do
Answers instead of filters
Instead of filters and an export, one question is enough: who has the projector from the hall? Which warranties expire this month?
Pseudonymised before sending
Before a question leaves Inventaris, it is pseudonymised: recognised names, including those after a title, email addresses, phone numbers and the name of the organisation become random placeholders. The analysis sees inventory numbers and placeholders; Inventaris inserts the names again itself.
Read-only, your organisation only
Swyron AI changes nothing by itself and only sees what the person asking may also see in Inventaris, with the same roles and permissions.
With follow-up questions and history
A conversation instead of a search form: Swyron AI remembers the last questions, asks when something is unclear and links every device it mentions.
Help with device problems
Projector with no picture, iPad with no Wi-Fi: with the inventory number, Swyron AI knows the model, accessories and the organisation’s guides and walks through the fix step by step. For borrowers too and, if the school switches it on, for students. Borrowers also get help when a program the organisation manages isn’t working on their device.
Ticket or damage report from the conversation
If nothing helps, Swyron AI pre-fills a ticket with the problem and everything already tried. If something is broken, it becomes a damage report. Nothing is submitted until the person has checked and confirmed the details.
Reply suggestion in the ticket
At the push of a button, Swyron AI suggests a reply in a ticket or reworks a draft. The suggestion lands in the comment field and is sent by hand. The organisation has to switch this on explicitly.
Help from documents, software and contracts
How do I switch on the projector in the hall, how is the software set up, when does the printing contract end? Swyron AI answers from the documents and contracts the organisation has released for it and names the document it relied on. Only management can see contracts; Swyron AI never gives out licence keys or passwords.
What you can ask
Ask the way you speak.
A few questions Swyron AI answers in Inventaris. No filters, no export, no spreadsheet.

Help with device problems
Projector showing no picture? Swyron AI helps.
With the inventory number, Swyron AI knows the model, accessories and your organisation’s guides. Whatever you tick off, it takes into account in its next answer. If nothing helps, it turns into a ticket or damage report, sent only once you confirm.
BEA-0004 shows no picture.
BEA-0004 is the EB-685W projector in the hall. Try these in order:
- Set the projector source to HDMI 1.
- Unplug the HDMI cable from the laptop and plug it back in.
- On the laptop, press Windows + P and choose “Duplicate”.
Tick off what you have already tried.

Replies drafted in seconds.
Swyron AI suggests replies and internal notes for tickets or polishes your draft. The text lands in the field, and you send it yourself. The organisation switches the feature on when it needs it.
Hi Lena
Thanks for reporting this and for already checking the source and cable. We’ll replace the HDMI cable in the hall first thing tomorrow. Until then, the spare projector BEA-0006 is ready for you in the equipment room.
Kind regards
Anna Meier

Data protection
Pseudonymised before anything leaves.
Recognised names become random placeholders that change with every conversation. Inventaris only puts them back in the answer, on its own server.
- 1 · In Inventaris
Lena Fischer has had BEA-0004 since 12.09.
- 2 · What the model sees

Questions
What is asked next
Is this included in my subscription?
Swyron AI is an add-on in three tiers by number of questions per month, billed yearly like the subscription.
Where does my data go?
The data is stored in Brazil. For the answer, the question and the necessary inventory details are sent pseudonymised to an external language model, including names, email addresses and phone numbers in descriptions and notes. In addition, there is content that the organisation switches on or releases: reply suggestions for tickets, documents from the documentation, documents and notes on software, individual IT contracts. The details are in the privacy policy.
What if the answer is wrong?
Swyron AI only answers from the data in Inventaris and links every device, so every detail can be checked with one click.
Can Swyron AI change data?
No. Swyron AI only reads. It doesn’t book, change or delete anything.
Does Swyron AI see more than I do?
No. Swyron AI works with the same rights you have in Inventaris, and only within your own organisation.
Are my questions stored?
Not beyond the session: Inventaris keeps a conversation only while you are signed in. Only the number of questions is counted.
Which names does Swyron AI recognise?
It replaces every name recorded in your organisation, names after a form of address or in a greeting, e-mail addresses, phone numbers and the organisation’s name. Staff numbers are not passed on at all. It works best if you ask using the device, room or inventory number, the way you would explain it to a colleague.
What is shared for software and contracts?
A software’s name, vendor, version, platforms, licence type and term, plus only what the organisation shares field by field: documents, the account and notes. IT contracts are included only if the organisation shares them one by one, contact persons never. Licence keys and passwords are never included.
Can Swyron AI read our own guides?
Yes, in Inventaris Pro. Under Documentation → Documents, your organisation uploads its own Word, PowerPoint, Excel or PDF files. For each document it decides whether Swyron AI may read it and whether it helps everyone, including borrowers and students, or staff only. Swyron AI names the document it relies on. Personnel files and other confidential staff documents are best not shared. Documents containing text are read.
Is my data used for training?
No. Your data is not used to train AI models.
Can Swyron AI send tickets on its own?
No. Swyron AI only prefills tickets, damage reports and replies. They are sent once a person has checked and confirmed them.
Does Swyron AI answer general questions too?
Swyron AI answers questions about Inventaris, that is about devices, loans, values, processes, software, contracts and shared documents, and helps with problems with a device or recorded software. Anything else it politely declines.
