Help

The questions
before the first day

How do I get started, how do my lists get in, who is allowed to do what. Everything else is in the application, right where you need it.

01 Getting started

Getting started

How do I get started?

Create an account, add a product and a unit to go with it. Then print a label and book the first loan. That way you've seen the whole process through once.

You can add rooms, staff and consumables later. It's best to add rooms before units, so each unit gets its location as soon as you add it.

How do our existing lists get in?

Yourself, under Administration › Import data. You upload your CSV file and first see row by row what would come of it, including errors and the row number where something isn't right. Nothing is written until you give the command. A template with example rows is available there.

All that's needed is the inventory number and product name; everything else is optional. The columns may be named as in your list: Inventory no., Description, Manufacturer and many other spellings are recognised.

The application imports up to 5000 rows per file. Send larger files to us and we'll load them in after reviewing them. We charge for this service by effort and tell you the price beforehand. It is included in the Enterprise subscription.

What is the difference between a product and a unit?

The product is the model: «MacBook Air 13" M3». The unit is the individual device with its inventory number. Twenty identical notebooks are one product and twenty units.

You maintain acquisition data on the product; the units take it over. If one differs, it carries its own.

Is there a dark mode?

Yes. The application follows the device setting: if it is set to dark, Inventaris appears dark too. In the Microsoft Teams tab, the Teams theme applies.

The website, the manual and printed sheets stay light.

02 People and permissions

People and permissions

What roles are there?

Owner, administrator, manager, employee, borrower and kiosk, plus SuS for students with the Library add-on.

Borrowers have their own overview with their loans, reservations, reports and their card; from there they open a ticket or report damage. Students see the library, their own loans and their card. The kiosk is an account for the issue counter: borrow, return and take supplies.

What is the difference between staff and a user?

A staff record is a person to whom something is loaned. It doesn't need an account. A user is an account that can sign in.

An organisation with 200 people and 6 accounts is an organisation with 6 users. That also counts for the price.

How do we connect Microsoft 365?

Settings › Microsoft 365 › “Connect with Microsoft 365”. The administrator signs in and gives approval.

The prerequisite is five security groups in the directory: four for the roles and one for the staff. With the Library add-on, a sixth one for students is added, SiGR-Inventaris-SuS. Owner and kiosk remain local accounts and so work independently of the directory. The group names are on the settings page.

03 Operation

Operation

Where is our data held?

On servers in a Tier III data centre in São Paulo, Brazil. We'll name the operator on request.

What we do ourselves is on the «Security and operation» page: separate data spaces, two-step sign-in, logging.

How often is a backup made?

Fully every night. Before the old backup is cleared away, it is checked whether the new one is readable and complete. Daily for fourteen days, then monthly for a year.

Can we get our data back out?

At any time, as CSV, without asking and without a reason for cancellation.

We are happy to advise you!

Trial access, a personal presentation or a short call: choose whatever suits you.

Didn't find an answer?
